How to: Fundraise
You have already got special funds and project funds from grants and smaller pots of funding. Here are some simple pointers on planning a successful fundraising event to help sustain your group.
The first thing to do is brainstorm ideas with your group. Explore things like:
- What kind of event do you want?
- What are the goals for your event?
- How will you benefit as a group?
- Who is your target audience?
- What are the risks at your event?
- Do you have a budget?
Things to Think About
- Plan the date of your event carefully – does the date you want conflict with anything else?
- How many people are you expecting to attend your event?
- Will it be a licensed event – do you have to apply for a license from the Council and how long will this take?
- How do you plan to advertise your event?
- Do you need insurance?
- Are there any performance/equipment costs?
This can be one of the trickiest areas. Make sure someone is in charge of the event, and form an event committee with committee members assigned specific tasks.
=> Set a budget to help you determine what you you can raise
=> Set a time, date and location
=> Produce a simple event plan including key milestones
=> Do you require any entertainment (give time to book)
=> What equipment (if any) will you need?
=> Can you get local sponsors/support?
The point of fundraising is to make money, not lose it, so make sure that whatever you plan is cost effective. Set an expenditure level for the event, and make sure you don’t exceed this. Set an income target too so you always have something to work towards.
You may need to ask yourselves some questions:
- Is there a charge for venue hire?
- Are you looking at the cheapest options?
- How are you raising revenue? – ticket sales, auction, raffle, sponsorship etc
- Can you get your prizes donated?
Get the Word Out!
If you want to raise funds, you need to make sure that people come to your event. Utilise all possible media sources to advertise your event. You might want to develop some eyecatching posters, send emails, contact your local newspaper or use a community radio station.
If you can, invite celebs or special guests to get more publicity. Use social networking groups, internet to get your message out and don’t forget word of mouth!
Identify The Risk
Nothing is without it’s risks. You need to consider:
- What are the physical risks to attendees eg trips,food poisoning?
- What are the reputational risks eg people being offensive, it not going well?
- What are the emotional risks eg people not joining in, not enjoying themselves?
Think about it – you have to make sure you get it all right if you want people to come and spend their money.
Be creative – think about current trends, don’t try and copy what other local groups are doing.
Can you partner with other groups to make your event even bigger?
Good fundraing ideas are usually the easiest so don’t over complicate things!
Top 5 Event Fundraisers
=> Auctions – particularly if you get some great prizes.
=> Themed party – anything from a BBQ, to a Black tie affair, to Eurovision Party!
=> Trivia night – everyone loves a pub quiz.
=> Bake sale – low cost, low risk!
=> Bingo – Everybody loves a winner!
- Be sure to thank all volunteers, contributers after the event.
- Evaluation meeting to see what went right/wrong.
- Finance reconciliation.
- Get lots of photo’s and stories from the event on website/social networking sites.
And most importantly - have fun!!
